E-mail Service Hunting

The email service I currently have for my domain is alright but I’ve wanted to change it. Both in hopes of having better costs but also to provide me more options to expand emails to my other domains. And I’m hoping to get a little feedback on my hunting, here.

What I am currently paying:
40/yr 10gb, single email address

What am I looking for:
Services that let me use my domains, with a minimum of 5 domains so that I can add more email accounts as needed. Preferably services that let me make multiple emails and divide the storage as needed or add inboxes to an existing account for a minor fee. This way I’ll just have one account I worry about and that’s it, it’ll cover all my email and I’ll never have to hunt for something unless I absolutely have to.

Space can be around 5-10 gigs, I don’t foresee myself using much more than that but if I can get some wiggle room that’d be nice.

I have no desire for calendars, storage, ‘work-spaces’ or anything like that. Just. E-mail. If the do come with those features, fine, but they’re not important. What’s also important is that it is a service that is persistent and stable because the emails I use it for are important.

So far, here are some services I’ve scouted:
(listing prices that meet the threshold of what I’m looking for)

NameCheap: 72/yr 75gb (5 emails)
So this one is out because that is too few domains for too high a price

Porkbun: 24/yr 10gb
Unsure of how many domains it lets me have, and it really tries to press getting Proton mail anyway.

Dreamhost: 20/year 25gb, 1 email
As usual, Dreamhost is way too expensive for what it offers.

Proton: 120/yr 50gb 10 domains
Proton is also expensive and is really reluctant to give options for more domains.

Tuta: 100/yr 500gb 10 Domain
Also absurdly expensive and restrictive on domain usage.

Startmail: 85/yr 30gb Unlimited Domains
'Salright, but out of my price range.

Mailbox.org: 40/yr 10gb
Doesn’t say unlimited domains but also doesn’t say 1 domain, so my guess is possibly unlimited???

NeoMailbox: 80/yr 5gb
Requires a one time 15$ fee to set up a custom domain but I’m guessing it’s only one domain.

Mailfence: 42/y 10gb
Unclear if this allows for more than one custom domain, but it seems like it does.

Fastmail: 60/yr 50gb
Allows for custom Domains, unsure of limit if it has one.

ZoHo: 15/yr 10gb | 48/yr 50gb
Seems to allow multiple domain names, the second tier has a digital signature feature, honestly not bad.

Migadu: 19/yr 5gb | 90/yr 30gb
This one isn’t bad at all, I could get by on the 5GB plan and upgrading isn’t… the worst… but I have unlimited accounts/domains either way

PurelyMail: 10/yr with no hard limits
It is what it says on the tin, just an email service, with no hard limits but scaling with those that hit the service harder than others.

Disroot: 12/yr 5gb | 22y 10gb
This a service I already use and I’m not inclined to attach more than one email to it. The process of adding a domain and getting the email account hooked up is obnoxious because it requires that I fill out a form in order to contact someone to add in my information for the domain to the service. I cannot add or remove domains from any interface of my own accord. For what I wish to do, this simply is too awkward and unwieldy. But it’s a good service otherwise.

So far, I’m leaning toward PurelyMail, ZoHo, or Migadu.

PurelyMail is incredibly affordable and also flexible with usage. However, it’s run by a single individual and when it come to something like email that leaves me wary about management and longevity.

Migadu is also affordable and I can always start at the 20 a year and increase to the 90 a year. But that 90 a year jump is quite the jump when I might only really need 10gb

ZoHo has been around a long time now, 15$ for 10gb is about what I need. And if I need to increase, 50$ is still within my means.

So my question is, has anyone here used these services, if so do you have any praise or complaints?

Also, do you use/know of any email services you use that would fit my needs?

I use Zoho and I have no complaints so far; I use multiple domains and have plenty aliases. Only one inbox, but I use filtering aliases to different folders to keep things organized (mostly :sweat_smile:).

I don’t think I’ve had any issues with lost emails, although of course I might not notice if I’m not expecting them…

I use Purelymail as my main email service provider, because I have very similar needs: create multiple email addresses and mailboxes with different domain names, while also being affordable. I pay with the advanced pricing model, which is pay-as-you-go, as when I tried it out I calculated the cost of my email usage, and found out that I only need less than $10 per year the standard pricing offers.

Concerns about longevity because it’s run by a single individual is valid, but I do find it the best option to suits my needs by far, with a price that I’m actually comfortable spending.

wait, so they don’t let you have an inbox for each domain, it’s all just a single alias?

Basically since it’s made for companies, you add all your domains to the overall… Workspace? (Can’t remember what they call it.) And then each paid account has a main address and the ability to have aliases that use any of the added domains, which all go to the same inbox.

Yeah the flexibility of it and the personability are really appealing you know, in addition to the price. There’s just always that worry that projects run by one person could just vanish. I’ll have to mull on it.

I’d highly recommend Fastmail. I’ve been using it for over 10 years. Unlimited domains (I think – I have quite a lot and never hit a limit), independent company, fantastic web app, mobile app and calendar. And it’s so fast, honestly! It’s non-trivial, and I maybe wouldn’t use it for the most important email addresses, but I’ve been hosting my own email server since I was a teen and it’s not so tricky once you’ve managed it the first time. Thought I’d throw it out as an option!

Hosting it yourself means it’s free (minus the cost of whatever server space you might already have), and you can have it run under as many domains as you care to set up. I’ve hosted mine for about 15 years and never to my knowledge lost an email. I can’t say how many of my outgoing emails make it past spam filters and the like as I typically only use them to receive, but I last tested this maybe 10 years ago by sending mails to a gmail account and that still worked :+1:

yeah I wouldn’t use calendars and I already have a vps so I don’t need hosting, so that steep price gives me pause. but good to know the service is good.

I have a VPS, so I could, but I don’t trust myself to manage it alone. (I have a difficult time with using a terminal enough as it is) It opens me up to way more vulnerabilities that I don’t think I am capable of handling on my own, not to mention spam mitigation.

What do you guys think about proton mail? I’ve been trying to move away from google services for obvious reasons, and so far proton has seemed to be very good. Only downside at the moment is the price ($20/mo for 2 people)

I use Proton Unlimited tier. It gives me 3 custom domains. I don’t have any complaints but I guess you can get similar services at lower rates.

Nothing in particular! Was just curious what the general consensus was. I am definitely liking it so far, I like being able to use my own domain and also have the alias emails.

Wow, this is an amazing list of email options!

This probably isn’t ideal for your use case, but I use iCloud mail with custom domains for myself and my family(spouse and three kids). You can add up to five domain names, and each family member can have up to three email addresses per domain name. So I have a personal domain name, with three addresses just for me at that domain, and we have a family lastnamevariant.tld domain name set up there, and the whole family has first@last.tld style email addresses. It’s included with iCloud+, which we were already using. (Just looking at it, and even the cheapest US$0.99/mo for 50gb iCloud tier includes the custom domain email feature).

I’ve used Migadu for little less than a year. A few domains, three different mailboxes and dozens of various aliases.

The only thing I can say about it is that I’ve had no problems at all. When I’ve tried to make changes, it’s been effortless, and otherwise I haven’t really noticed it at all. Just as I’d like it from my email service provider.

Yeah it’s not free, but I think $5/mo (when paying annually) is pretty great for what you get. They do a basic one for $4/mo too. I always think of these things in terms of coffee. So for the same price as a single takeaway coffee you can have arguably the best email service, unlimited domains, no ads etc… pretty good value I think :blush:

It’s not about the value being bad, it’s about what I can comfortably afford. It gives me way more than what I would ever use or need so it feels like a big expense that I won’t even use a whole 10th of what I’m paying for. The ‘basic’ one does not give me what I need because it does not let me use a custom domain.

(Also I don’t buy any drinks on the monthly so that analogy falls flat on me, lol)
